This policy explains what information CoTE (Chamber of Trade & Enterprises) collects when you register for membership or an event, why we collect it, and how it is protected.
Details you give us. When you register as a member or book a seat at a CoTE event, we collect your name, mobile number, email address, business or company name, designation, city, chamber location, membership ID (if you have one), business category and the number of guests you are bringing.
Payment details. Payments are handled by Razorpay, a PCI-DSS compliant payment gateway. Your card number, UPI PIN, net banking credentials and CVV are entered on Razorpay's secure window and are never seen or stored by CoTE. We only store the Razorpay order ID, payment ID, the amount paid and the date of payment.
Technical details. Our registration pages record the IP address of the device used, the page that referred you, and campaign tags in the link you clicked. This helps us understand which invitations reached you and helps us detect spam or fraudulent submissions.
To confirm your registration, issue your registration ID, prepare your entry pass and manage seating and hospitality at the venue.
To send you your payment confirmation, event details, venue directions, schedule changes and other messages directly related to what you registered for, by email, SMS or WhatsApp.
To operate the CoTE business community — chapter allocation, member directories, referral and networking activity, and invitations to future CoTE meetings and events.
To keep accounts, meet tax and audit obligations, and resolve any payment dispute or chargeback raised with our payment gateway or bank.
We do not sell, rent or trade your personal information to anyone.
We share information only with the service providers who make our events run: our payment gateway (Razorpay), our website hosting provider, and our email and messaging providers. They may use it only to provide that service to CoTE.
We may disclose information when the law requires it, or when it is needed to protect the rights, safety or property of CoTE, our members or the public.
Member directories, business listings and networking materials are shared within the CoTE community for referral purposes. Tell us in writing if you do not want your details included.
Our registration pages run over an encrypted HTTPS connection and member data is held in a password-protected database reachable only by authorised CoTE staff. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
We keep registration and payment records for as long as your membership is active and thereafter for the period required by Indian tax and accounting law.
You may ask us to see, correct or delete the personal information we hold about you, or to stop sending you promotional messages. Write to info@cotehub.com and we will act on your request within 30 days. Records we are legally required to retain, such as paid invoices, cannot be deleted.
Our site uses a small session cookie to keep your registration form working and to limit spam submissions. You can block cookies in your browser, but the registration form may then not work correctly.
We may update this policy from time to time. The revised version will always be published on this page with a new effective date.
